General Terms & Conditions
Annual Family Membership Fee
The annual membership fee is £30.As a member of The Little Gym, your family is entitled to discounts on Birthday Parties, Holiday Camps, and special events as well as early booking offers and special events. If you have opted-in to receive our promotional electronic communications, you will receive prior electronic notification of our events and offer periods. Fees must be paid/auto-pay set up prior to enrolment. Membership fees are non-refundable and will not be prorated.
NB: If you choose to cancel your membership, you will no longer be entitled to member benefits such as discounts on camps or use of makeup classes. If you decide to re-enroll at a later date, you will need to pay the membership fee again. The membership fee is renewed annually whilst you remain enrolled.
Terms of Enrolment
Please note your membership at The Little Gym is year-round, with the Gym open 50+ weeks of the year! Your first month is a trial month and if at any point you’re not happy during your first month, just let us know and your membership will end after your first month. If you don’t let us know your contract will become continuous after your initial month.
Your monthly fees are continuous, due every month whilst your child is enrolled, with flexible options for summer and other holiday periods to suit your family’s requirements. You will attend your regular weekly scheduled class during term time and during our holiday periods you will have the option to attend classes, workshops, camps & special events. Plus, our member benefits of practice time/tumble & tea sessions which are included in your monthly fee will run every holiday.
The gyms will be closed annually over Easter, Christmas, and Bank holiday Mondays, plus times needed to complete essential maintenance.
Notice
If you wish to stop your enrolment, we require one month’s notice in writing, and for the leaver’s form to be completed, after which your payments and membership will be cancelled. You are free to continue attending classes until your notice period ends.
NB: Once you have cancelled your membership, you will no longer be entitled to member benefits such as discounts on camps or the use of makeup classes. If you decide to re-enroll at a later date, you will need to pay the membership fee again. The membership fee is renewed annually whilst you remain enrolled.
Accounts may be frozen or funds used for other purchases in exceptional circumstances, such as injury with no notice.
Cancellation
The Little Gym reserves the right to cancel classes, camps, or birthday parties due to the occurrence of an unforeseeable event i.e. government lockdown, restricted access to The Little Gym facility, etc. If this occurs and we are unable to gain access to the gym, we will replace face-to-face activities normally taking place at the gym with an online offering. If The Little Gym activities move online our standard terms and conditions apply.
Neither The Little Gym nor the customer shall be held liable for failure or delay in the performance of its obligations regarding the subscription to The Little Gym products and services, except with respect to payment obligations, if such performance is delayed or hindered by the occurrence of an unforeseeable act or event which is beyond the reasonable control of either party (“Force Majeure Events”). Acts or events constituting Force Majeure Events shall include, but not limited to, Act of God, government intervention, directives, policies, change in the law, epidemic and/or pandemic, natural disaster, strikes, war or terrorism. The party affected by a Force Majeure Event shall notify the other as soon as reasonably practicable after commencement of a Force Majeure Event.
Camps are non-refundable, but if cancelled 48 hours in advance can be kept on account to use on a different date.
Party deposits are non-refundable.
Late Payments & Chargebacks
Late payments will be charged at £15 per late payment and may result in members losing their space. Any payments made which are then subsequently recalled by your bank (a chargeback) due to your request when a service is due to be paid for will incur a charge of £15 per chargeback.
General Policies
Our ‘make-up class’ service
If you need to cancel a class please let us know via email by 9 am on the day of your class. You will then receive a make-up class added to your account.Anypre-cancelled classes will be stored as class credits on your account (or ‘make-up class’) to be used at any time for as long as you remain enrolled, subject to availability.No more rush to get them booked in before the end of an academic year.It is your responsibility to book these sessions, unused makeup classes hold no monetary value and cannot be refunded. Make-up classes can be used by siblings or gifted to friends whilst your membership is active.
Class Observation
Parents, siblings, and guests are always welcome to observe classes from the lobby. Siblings are not permitted to participate in class activities unless they are enrolled in that class. Parents are not permitted to remain on the premises during camps.
Responsibilities
We make every reasonable effort to ensure the safety of children in the gym and while they are in the lobby. Parents or guardians are ultimately responsible for seeing the safe entry and exit of their children. No responsibility is taken for personal belongings within any area of our premises, including the car park. Please protect our children — no nuts to be brought onsite.
Behavioural Issues
If a child is being disruptive, destructive, or dangerous to themselves, other children, or staff members during class or special events, we will make every effort to work with parents and the child in question to resolve this behaviour. If the behaviour persists or other undesired behaviours develop, the child in question will be asked to take a break from the class or event.
Clothing
Children should wear comfortable clothing and must be barefoot to maximise safety and freedom. Jewellery, food, and chewing gum are not permitted in the gym. Adults entering the gym are asked to remove their shoes (adults may wear socks). The Little Gym is not responsible for lost or stolen items.
Equal Opportunities
The Little Gym operates an equal opportunities policy and welcomes all children of every race, ethnicity, and religion. If your child has a physical disability or special needs, please contact the gym to see how we can best meet their requirements.
Arrivals and Departures
If your child is to be collected by someone other than a parent/carer, this must be indicated to a member of staff and recorded at the start of the camp. The adult nominated to collect your child must be one of those named on the Registration Form. Only adults – aged 16 years and over – and with suitable identification, will be authorised to collect children. In the event that someone else should arrive without prior knowledge, The Little Gym will telephone the emergency contact immediately. Please familiarise yourself with all COVID 19 social distancing guidelines and drop-off and collection points as stated above.
Uncollected Children
If a parent, carer, or designated adult is more than 15 minutes late in collecting a child, the Manager will be informed and will use any emergency contact details available in order to try to ascertain the cause for the delay. Messages will be left requesting a prompt reply. If, after repeated attempts, no contact is made, and a further period of 30 minutes has elapsed, the Manager will call the local social services department for advice. The child will remain in the care of The Little Gym until they are collected by a parent, carer, or designated adult, or alternatively placed in the care of social services.
Major Accident, Incident or Illness
The Little Gym requires that you sign the Medical Attention Waiver. This enables the Manager or any member of staff so empowered, to give permission for emergency medical treatment for your child in the event of a major accident, incident, or illness occurring at The Little Gym. You will be made fully aware of the details of any incidents involving your child’s health and safety, and any actions taken by The Little Gym and its staff. Social distancing guidelines will not apply to ensure we can tend to your child fully.
Minor Accident, Incident or Illness
If your child does not need hospital treatment and is judged to be able to safely remain at The Little Gym, he/she will be removed from the activities and, if appropriate, the qualified First Aider will treat the injury/illness. If this is deemed inappropriate, but does not warrant hospitalisation, the emergency contact will be contacted immediately and asked to collect your child.
Medication
Staff may only administer medication to your child if it is prescribed by a GP and if the request to do so is given in writing at the start of a camp. A request can be made by completing and signing the Consent to Administer Medicine Form.
Sick Children
The Little Gym is committed to the health and safety of all children and staff, who play, learn and work here. As such, it will sometimes be necessary for a child to be collected early from a camp or be kept at home while they get better. If your child is ill, please follow your doctor’s advice and government guidelines. The Little Gym has an illness guidance table detailing how long children should remain at home. If your child becomes ill outside The Little Gym hours, you should notify The Little Gym as soon as possible. If any infectious or communicable disease is detected on The Little Gym’s premises, The Little Gym will inform parents as soon as possible.
Behaviour Management
The philosophy of The Little Gym is to reward good behaviour with praise and support and set out clear boundaries through the class structure and rules. We aim to provide a very positive environment and encourage children to try their best not to be the best. In general, we will disregard negative behaviour unless there is a safety issue or the behaviour is disruptive to the rest of the group. If a child continues to be disruptive, the child will be removed from the activities and the child’s parents will be contacted.
Safeguarding Children / Child Protection
As a childcare provider, it is our legal duty to ensure that children are secure from both the fear and reality of abuse. We have comprehensive practices in place and all staff undertake regular child protection training. Please ask a member of staff if you require a full version of our child protection policy.
Complaints Procedure
The Little Gym is committed to providing a safe, stimulating, and accessible service to children and their parents/carers. We are always looking for ways to improve our service. If you have any issues or complaints, you are encouraged to speak directly to the relevant member of staff in the first instance. If this is deemed inappropriate, the Manager should be approached, and they will try to resolve the problem. If informal discussions have not produced a satisfactory resolution to the situation, complaints should be detailed in writing to the Manager. The Little Gym will acknowledge receipt of the complaint within three working days and fully investigate the matter within 28 working days. A formal response to the complaint from The Little Gym will be sent to the parent/carer concerned and copied to all relevant members of staff if appropriate. If at the conclusion of this process, you remain dissatisfied with the response received, the original complaint along with the Little Gym’s response will be passed to the Owner who will adjudicate the case. If the issue is still not resolved at this stage, the complaint will be directed to The Little Gym Europe.
Camp Terms & Conditions and Policies
OFSTED approved camps
Our holiday camps are OFSTED registered and parents are required to complete the appropriate camp registration form and make payment in full 24 hrs prior to the camp. Please see our OFSTED policies in the gym. Camps are non-refundable.
Camp Bookings
Camps must be booked in advance. No on-the-day bookings can be guaranteed. Camp fees must be paid at the time of booking. No booking is confirmed until payment is received — your space will remain available to other families until payment is received. The Little Gym reserves the right to cancel and re-allocate your booking with no refund or credit due.
Camp Refund and Cancellation policy
Any paid-for camp that is cancelled more than 48 hours before the start time of the camp is eligible for a refund. Please be aware that any refund incurs a fee of £10. Camps cancelled within 48 hours of start time are not eligible for a refund. Please note if a camp is cancelled due to sickness we will reschedule or credit the camp at no extra cost. If a camp is booked using class credits, these are non-changeable and credits used will be viewed as spent whether your child attends a camp or not.
Camp Observation
To optimise Health & Safety, and Safeguarding for all children, carers, and teachers, The Little Gym camps are strictly drop-off only. Parents, siblings and guests are not permitted to remain on the premises. Registration desk may be outside or in the downstairs lobby, depending on weather and government guidelines at the time of operation.
Privatelybooked gymnastics activity camps
Private bookings must be made in advance and are subject to availability. A non-refundable deposit must be paid at the time of bookingand no booking is confirmed until this payment is received— your space will remain available to other families until payment is received.
Party Terms & Conditions and Policies
Parties are not booked until a deposit is received; we are not able to reserve any party slots without a full deposit payment. Party deposits are non-refundable at all times. Parties can be moved up to 3 weeks in advance with no additional fee incurred. Late party cancellations for illness can be moved to an available date at the manager’s discretion.
Practice Times Terms & Conditions and Policies
Practice Times will run during the holidays and at weekends when bookings allow them. Practice times are a member benefit, but non-full members can use a block class credit to attend. One per week can be booked in advance, but unlimited can be booked depending on availability within a week of the session.
Specific Terms & Conditions for Infectious Diseases
Customer Public Health Obligations
We follow strict health and safety guidelines to protect our customers, staff, and the local community. In line with guidance from Public Health England, we ask that any child with a fever of 37.9 or higher stay home and refrain from attending the gym. Parents must keep children home from the gym if they have cold or flu symptoms, including but not limited to a fever, headache, nasal congestion, rash, cough, extreme fatigue, or any other sign of illness. If children develop signs of illness during camps or classes, parents will be called and children must be collected as soon as possible by parents. We reserve the right to refuse entry to camp if we suspect a child is unwell.If you or a member of your household, or a person with whom you have had recent contact (including track and trace), develops Covid-19, your family must refrain from attending for 14 days from the point of exposure or diagnosis in order to protect our customers, staff and the local community.
